Conference and Event Video

The video is part of the event, not an advertisement break inside it. Openers, coverage, and highlight films planned around your program.

What it is

Association annual meetings and conferences run on tight programs, and the video has jobs at every point in them: an opener that settles the room, coverage that documents the record, interviews that capture members while they are all in one place, and a highlight film that keeps working after everyone goes home.

We plan event video from the run of show backward. Crew size, camera positions, interview scheduling, and delivery dates are set before the doors open, including a playback test file for the venue's system, delivered days ahead rather than the morning of the event.

What is included

  • Conference opener and theme films
  • Multi-camera general session and breakout coverage
  • On-site member and speaker interviews
  • Award show packages and honoree films
  • Same-week highlight films
  • Playback test files and venue coordination
  • Archive organization so this year's footage serves next year

How we work

  1. Start from the run of show

We map every video element to the program: what plays, what gets filmed, and what gets delivered, and when.

  2. Build the screened pieces first

Openers and award packages are produced ahead of the event, on the standard production schedule.

  3. Cover and interview on site

A crew sized to the program, usually three or four people for a full conference, with interviews scheduled against the agenda.

  4. Deliver the highlights fast

Highlight films and session deliverables edited on a same-week schedule agreed in advance.

Common questions

How many crew does a conference need?

A real conference, with general sessions, breakouts, and interviews happening at once, starts at three or four people. We build the staffing plan from your run of show.

How fast can we get the highlight film?

Same-week delivery is standard when it is planned in advance. Tell us the date it has to play or post, and we schedule the edit backward from it.

Can one shoot day cover interviews too?

Yes, and it should. Members and speakers are already in the building. We schedule a dedicated interview set so the event produces content for the rest of the year.
